Position Description: Financial Secretary 

Position: Financial Secretary (part-time position)

Purpose: To provide administrative services related to the financial matters of the church.

Accountability: The Financial Secretary is supervised by the Head of Staff on a “day-to-day” basis, and is responsible to the Personnel Committee. The Financial Secretary also works very closely with the Board of Trustees and the Treasurer of the Corporation of the First Presbyterian Church of Warrensburg.

Special Qualifications: The Financial Secretary will be a high school graduate with secretarial skills. Knowledge related to maintaining financial records and bookkeeping skills and QuickBooks is necessary. “People skills” are essential. Due to the sensitive nature of the information received by the Financial Secretary, it is essential that the Financial Secretary be able to demonstrate confidentiality and professionalism in maintaining the records of the church. The Head of Staff will provide guidance regarding who has a need to know confidential information.

Responsibilities:  The Financial Secretary will:

1.      Keep up to date financial records of the budgeted and special accounts of the church and make regular reports to the Session and Board of Trustees.

2.      Count and record all income to the church including the Sunday offerings and any special offerings, and deposit receipts into the bank.

3.      Pay all bills from correct accounts and record and track account activity.

4.      Work with Interpretation, Stewardship and Wills Committee during stewardship campaigns, and maintain current records of all new pledges.

5.      Deposit payroll taxes to federal and state governments at appropriate times and mail 941 quarterly reports. The Financial Secretary will also complete W-2 forms for church employees, as well as 1099-Misc. forms for other employees as needed.

6.      Keep abreast of current regulations and substantiation rules for charitable contributions.

7.      Send quarterly contribution statements to pledging members, as well as for non-pledged and special contributions.

8.      Mail cards acknowledging memorial contributions to the church.

9.      Review the budget accounts send notices to committee moderators and the Board of Trustees when an account is in danger of being over spent.

10.  Prepare the financial report portion of the Annual Report for the congregation.

11.  Keep the Session, Board of Trustees and the Treasurer apprised of matters deserving their attention.

Pay: $17 dollars an hour

Hours: M-W-F from 9am-12pm to begin with, then adjustable as needed to complete tasks.
